Overview

Workday Benefits is the benefits-administration capability of Workday Human Capital Management, not a standalone broker ben-admin product. It uses the same worker record as core HR and (when licensed) Workday Payroll. Employees enroll and manage dependents through desktop and mobile experiences and a benefits-and-pay hub. Administrators configure plans, eligibility, open enrollment, and life events. Cloud Connect for Benefits supplies prebuilt carrier templates, including HIPAA 834 and LIMRA data-exchange formats. Workday, Inc. (NASDAQ: WDAY) is a public cloud HR and finance vendor founded in 2005 and based in Pleasanton, California.

Why it matters For Workday HCM shops, this is the default enrollment system of record. Carrier feeds run through Cloud Connect (834/LIMRA) instead of a third-party ben-admin hub—unless the employer still layers on Employee Navigator, Benefitfocus, or similar.

Overview

Workday Benefits sits inside Workday Human Capital Management. It is built and sold by Workday, Inc., a public company (NASDAQ: WDAY) founded in March 2005 by Dave Duffield and Aneel Bhusri and headquartered in Pleasanton, California. The company also sells Financial Management, Adaptive Planning, and other cloud applications on the same platform.

This directory entry covers the benefits administration module, not the full HCM/finance suite. Marketing and datasheets describe plan and eligibility configuration, guided enrollment, a benefits-and-pay hub, dependent/beneficiary management, evidence-of-insurability handling, health/wellness program management, payroll coordination, Cloud Connect for Benefits, and ACA/Medicare-related administration.

Because benefits data live on the HCM worker object, eligibility can use hire, job, hours, and related HR events without a separate census file—provided those data are maintained in Workday. That is a different architecture from broker-of-record tools that sit beside payroll.

Workday documents hundreds of Cloud Connect for Benefits (CCB) endpoints. CCB watches enrollment events in Workday and sends provider files (often 834) on a schedule or as needed, using role-based security inside the tenant.

Key Capabilities

  • Administrator setup: benefit groups, plans, enrollment event rules (what workers can elect and when). Open enrollment is a distinct process type in admin documentation.
  • Worker experience: guided enrollment with plan comparison, cost, and provider detail; mobile and desktop; benefits-and-pay hub for common actions (add dependent, change beneficiary).
  • Life events: marriage, birth, address, and similar HR changes can drive enrollment events that also feed CCB.
  • Dependents, beneficiaries, and EOI: listed on the Workday Benefits datasheet.
  • ACA: marketing page describes hours tracking, automatic healthcare enrollment for eligible part-time workers, FTE/movement reporting, and certified integrations to transmit ACA reporting data. Exact form-generation versus partner e-file split is not fully specified on that page.
  • Payroll: admin guidance says using Workday Benefits with Workday Payroll ties elections to earnings/deductions. Cloud Connect for Third-Party Payroll is a different path and is explicitly out of scope in some benefits-payroll setup notes.

APIs: Benefits_Administration web service (e.g. Change_Benefits, retirement-savings enrollment, plan/provider put/get) and REST benefits APIs documented for developers. These are tenant APIs, not a public “app store” of every carrier.

The public benefits page does not publish the full CCB carrier list. Whether a given carrier is a packaged connector vs custom 834 is a tenant/partner question.

Pricing

No public SKU price for Workday Benefits. It is sold as enterprise SaaS, usually per worker as part of HCM. Implementation, integration, and ACA e-file partners are extra and not list-priced on workday.com.

Unofficial analyst PEPM bands for core HCM exist; they are not Workday list prices and may not isolate the benefits module. They are omitted here.

Notes & Limitations

  • Not a broker-agency ben-admin product; no broker “book of business” marketplace is described on the benefits page.
  • Standalone use without Workday HCM is not how the product is sold.
  • Full CCB catalog, ACA e-file partner names, and Medicare-management detail need a demo or docs login; not fully public.
  • Global HCM localization (vendor: many countries) does not mean every local statutory benefit is in Workday Benefits. This entry assumes U.S. group benefits/ACA.
  • Customer counts (e.g. 10,000+ organizations) refer to Workday overall in secondary sources, not to Benefits-module seats.
